Terms and Policies

General Conduct

LUG Con and Gas South District is committed to creating a safe, comfortable, and enjoyable entertainment experience. All staff, contractors, vendors, volunteers, attendees, and guests are expected to abide by the terms and policies outlined here.

In regard to continually improving the experience for all participants, LUG Con reserves the right to update, add, alter, or otherwise amend these terms at any time as the event develops, in the interest of protecting the safety and integrity of the event and all its participants.

Participants are expected to behave responsibly and respectfully toward other attendees, staff, and convention property. Additionally, they are expected to follow all show policies, venue rules, staff directions, and help maintain a safe environment by respecting everyone’s physical and social boundaries and their personal property.

Participants attend at their own risk. LUG Con takes no responsibility for any damages incurred to property or person before, during, or after the convention. Participants agree to indemnify and hold harmless LUG Con from any claim for personal injuries or other damages or equity arising out of any individual’s activities at LUG Con.

Code of Conduct

All participants have a right to expect an environment where they will:

  • Be treated in a consistent, professional and courteous manner by all convention staff and venue personnel.
  • Enjoy every event free from disruptive behavior, including foul or abusive language or obscene gestures.
  • Consume alcoholic beverages in a responsible manner. Intervention with an impaired, intoxicated or underage guest will be handled in a prompt and safe manner.
  • Wear convention badges at all time within the venue, as well as honor ticketed events and show their tickets when requested.
  • Be required to observe proper hygiene practices and wear a shirt and shoes at all times. Signs or clothing with obscene or indecent messages, images or text are not allowed.
  • Comply with requests from venue staff regarding facility operations and emergency response procedures.
  • Be responsible for their own good time by reporting inappropriate behavior.
  • Leave all weapons both lethal and non-lethal at home or off-site. Cosplay weapons will need to be evaluated by LUG Con staff.
  • Refrain from discussing topics regarding religion or politics during the event.

Any participant who violates the Code of Conduct may be subject to removal from the property without refund and, to the extent their conduct constitutes a violation of law, may be subject to trespass or arrest.

Diversity & Inclusion

LUG Con is committed to creating and maintaining an inclusive environment with equitable treatment for all, whatever their gender, race, ethnicity, national origin, age, sexual orientation, identity, education, or disability, ensuring everyone feels valued and respected. 

We are committed to a nondiscriminatory approach in all of our departments, programs, and events, and strive to ensure all participants are welcomed and enjoy our events.

Harassment

Harassing or offensive behavior, verbal, physical, or otherwise, will not be tolerated. 

Harassment is any behavior that is unwelcome or offensive, including offensive verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, or other protected class status, suggestive or sexual images in public view, deliberate intimidation, stalking, following, harassing photography or recording, inappropriate physical contact, and unwelcome sexual attention.

Disruptive behavior, harassment, abusive language, threats, assault, vandalism, theft, and all other inappropriate actions or any actions that threaten or endanger others will not be tolerated and may result in expulsion from the convention without refund, and prosecution if appropriate.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, notify LUG Con staff immediately.

Attire

  • Costumes, cosplays, and general attire must provide the same level of body coverage expected at an all-ages public beach. Excessive exposure of private body parts (i.e.: breasts, butts) and any exposure of genital areas is not allowed.
  • Costumes, cosplays, and general attire may not include:
    • Words, images, or symbols that convey racist, sexist, homophobic, transphobic, or otherwise prejudiced, discriminatory, or bigoted messages or sentiments.
    • Obscene or offensive language or images, including uncensored profanities and pornographic content.
    • Representation or incorporation of the iconography, uniform, or appearance of persons or objects associated with prejudice or bigotry (e.g. Nazi imagery).
  • Costumes and clothing should not impede your or others’ movement around you, and must fit through a standard American doorway.
  • Footwear is required at all times.

Venue Policies

  • Posting or distributing literature, flyers, handouts, etc. without permission is not allowed.
  • Sleeping in event rooms/space is not permitted.
  • All entrances and exits, both indoor and outdoor, as well as aisles, must remain clear and unobstructed at all times.
  • All bags are subject to search before being allowed into the venue. Guests not allowing inspection of their bags or purses may be refused entry into the building. Medically necessary bags that are required to transport medical equipment will be permitted.
  • All utility panels, switch gear, fire hose cabinets, standpipes, fire extinguishers, and fire alarms must remain visible and accessible at all times. 
  • Building temperature is controlled by the venue. LUG Con does not have the ability to alter indoor temperature.
  • Spills, loose flooring, and other apparent safety hazards should be reported immediately to LUG Con or venue staff.

Cashless Venue

Gas South District and Convention Center is a cashless campus. All venue purchases must be made using a credit or debit card. This includes payment for parking, concessions, the arena photobooth and more. No cash payments will be accepted.

Purchases made by convention specific vendors (i.e.: exhibit hall or show floor sales) may accept other forms of payment at their discretion.

Registration and Badges

  • Badges are required for entry into all convention areas and use of all convention furniture, vendor booths, and display areas. All participants, including all underage minors, require a badge.
  • Your badge is for your personal use only. You may not procure registrations as agent for any third party or exploit your registration commercially or non-commercially in any way.
  • Badges are non-transferable.
  • Lost or stolen badges must be reported to registration immediately. Replacement badges may be issued at a cost.
  • All sales are final, and refunds are subject to management approval.
  • Duplicating a badge is forgery and a felony in the state of Georgia; those participating in forgeries or sale thereof will be removed from the convention and venue and reported to law enforcement.
  • LUG Con reserves the right to revoke a badge at any time for any reason, not limited to disobeying rules, causing a disturbance, disrupting activities, public intoxication, or other activities deemed to be a nuisance or danger to other participants.

Health, Safety, and Security

All participants acknowledge that attendance and participation in public events, like LUG Con, carries risk of exposure to illness. 

All participants will do their due diligence to be educated on the latest health standards and CDC guidelines for prevention, and take proper precaution before attending to ensure they are healthy and not at risk for spreading disease or illness while at the convention.

If you or are anyone in your party are experiencing any signs of illness, including but not limited to fever or chills, cough, shortness of breath or difficulty breathing, unusual fatigue, muscle or body aches, headache, loss of taste or smell, sore throat, congestion or runny nose, nausea or vomiting, diarrhea, or any other symptom that could be suspected of being contagious, especially if you or someone you have recently been in contact with has or has had confirmed or suspected COVID-19 symptoms within 14 days of the event, you will refrain from entering the Gas South District and LUG Con convention areas.

Please ensure that you have reviewed any advisories or restrictions that may be in place for travel to the United States and for travel to Georgia.

Smoking / Vaping

Under the Georgia Clean Air Act, smoking is prohibited in the facility at all times, and is limited to the designated exterior smoking areas. This includes vaping of any kind.

Fire Code

Aerosol cans containing flammable gases or liquids are prohibited. No flammable liquids may be brought into or stored in the Gas South District. 

Use of any pyrotechnics, open flames, smoke emitting materials, fireworks, or combustible materials as part of an exhibit and or performance must be specifically approved on an individual basis by LUG Con, the venue, and the Gwinnett County Fire Plan and Review.

The venue reserves the sole discretion to restrict the number of persons on the premises, or in any room or part, at any time, consistent with public safety and Gwinnett County Fire Code.

Show management, exhibitors, service contractors and all other involved parties must comply with all Federal, State, and Municipal fire codes which apply to places of public assembly. Sections of the Life Safety Code Book, which are pertinent to places of public assembly, shall be considered a part of all leases whether specifically referenced or not. Reference copies of the Life Safety Codes are available in the Gas South District’s Management office Firefighting and emergency equipment may not be hidden or obstructed, including fire extinguishers and fire hose cabinets, fire alarm pull stations, standpipes, utility panels, and switch gear.

Weapons Policy

No functioning weapons of any kind are permitted at LUG Con or anywhere on the Gas South District campus. This includes but is not limited to firearms, knives, swords, and martial arts weapons. 

All firearms carried or on display must be disabled by either removing the firing pin or other component to prevent the firing of the weapon. Live ammunition is prohibited.

Prop Weapons Policy

Props of all types can be a huge part of the tabletop community, especially in LARP and cosplay expression.  However, some props are not appropriate or safe for the purposes of a large, family-friendly convention.  To ensure that all attendees have an enjoyable and safe time, LUG Con has the following policies regarding all props.

  • Prop weapons are generally allowed, but may require precautions, such as peace-bonding with a visible security measure to identify prop weapons as non-lethal. If such an indicator is requested by convention or venue staff, it must remain on the prop for the entirety of the convention.
  • LUG Con and Venue staff reserve the right to inspect, restrict, require alteration, or prohibit any props that they deem inappropriate or potentially dangerous to the event and its participants.
  • Oversized (over 6ft long) and overweight (over 30 lbs) props should obtain pre-approval and may be denied entry.
  • Any prop, outfit, or armor piece must not be made of a material that can injure a passerby.
  • Props cannot be thrown, tossed, shot, or swung regardless of its construction and functionality. They must be under the holder’s control at all times, and should not be pointed at a person or brandished in a threatening manner outside of posed photos.

Questionable items can be brought to an Information Desk or Show Office in the convention center during operating hours to be checked for compliance with this policy. Items purchased in the Exhibit Hall that violate this policy must be wrapped and immediately removed from the convention premises.

Hazardous Materials

Exhibitors cannot bring any material, substance, equipment or object which reasonably may endanger the life of, cause bodily harm to, any person at the Gas South District, or which may reasonably constitute a hazard to the building or the property therein. 

Under no circumstances may grease or other waste material be poured into drains. Such material must be removed in proper containers in accordance with applicable regulations and ordinances.

Lost and Found

Lost and found items can be turned into and retrieved from the LUG Con Registration or Information stations. 

After the conclusion of the convention, unclaimed items will be turned into the Gas South Security Department, available 24 hours a day and can be reached at (770) 813-7540. Found items are held for up to 30 days. 

LUG Con and Gas South District is not responsible for lost items.

Alcohol and Substance Policy

  • Possession or consumption of alcohol by minors (anyone under the age of 21) is strictly prohibited and against Georgia law. Any minors observed to be in possession of or consuming alcohol on the premises will be immediately and safely dismissed off the campus.
  • No alcohol may be brought into Gas South District. 
  • Alcoholic beverages may be purchased inside when applicable. Gas South reserves the right to place a maximum limit of two alcoholic beverages sold to each Guest, and has the right to refuse service at any time.
  • We reserve the right to deny entry to anyone who appears to be impaired.

Drugs and illegal substances are strictly prohibited. 

Attendees found violating these policies will be immediately removed from the convention, without refund, and may face legal action.

Accessibility

LUG Con is committed to providing a welcoming and accessible environment for all attendees. If you require special accommodations or assistance, please contact our team in advance or at the registration desk upon arrival, and while we cannot guarantee every accommodation, we will do our best to assist you and meet your needs.

Entrances

All public entry points and restrooms are ADA accessible.

LUG Con has coordinated all layouts of booths, furniture, and other fixtures with the venue to ensure the following of all ADA guidelines within the leased space.

Our disability and differently-abled guests are not guaranteed early or special access to any events or convention areas.  We will attempt to accommodate all requests on a case-by-case basis.

Parking

Designated disabled parking spaces available in Parking Decks 1 & 2. The designated parking spaces are available on a first come, first served basis and cannot be reserved in advance. All spaces require a valid permit to be displayed at all times.

Drop-offs for guests with disabilities or limited-mobility vary by event. If drop off in front of the Convention Center is not available, please use Level 3 of Parking Deck 1 for easy access to the front of the building.

Service Animals

Service animals, defined by the Americans with Disabilities Act (ADA) as “dogs that are individually trained to do work or perform tasks for people with disabilities,” are welcome inside the Gas South District.

  • A service animal must be under the control of its handler, and must be harnessed, leashed, or tethered, unless the individual’s disability prevents using these devices or these devices interfere with the service animal’s safe, effective performance of tasks. In that case, the individual must maintain control of the animal through voice, signal, or other effective controls. 
  • The owner may be required to show appropriate credentials before entering the building.
  • Service animals will rest in the seating area of the individual with a disability, rather than in the aisle. 
  • A guest whose service animal poses a threat to the safety of other guests and employees may be asked to escort the animal off the premises.
  • Anyone bringing an animal will be responsible for and liable for any damage or injury caused by the animal.
  • All animals should have legally required vaccinations before entering.

Emotional Support Animals (ESA’s that provide emotional support, but are not specifically trained and certified to work or perform tasks for people with disabilities), as well as therapy animals and companion animals, are not permitted.

Other attendees and participants should refrain from harassing or petting service animals at any time for any reason.

Family Guidelines and Services

Please be cautious with underage children and teens in any large, crowded environment, keep an eye on children at all times. Small children must be accompanied by an adult at all times. Childcare is not offered, so please plan accordingly. 

Most events at LUG Con are appropriate for all ages, but some may not be suitable for younger children. These events will be noted in the event schedule. Guardians should use precaution and plan accordingly. If you need assistance determining the appropriateness of an event or convention area, please contact LUG Con staff.

Nursing mothers desiring a private area for nursing, may request one from LUG Con staff or the venue concierge desk. Though not guaranteed, we will do our best to provide a private space.

Strollers are permitted, but are NOT recommended at LUG Con. For safety, no strollers are allowed on escalators, and must use elevators to transfer floors.

Photography and Videography

By participating, you are entering an area where photography, audio, and video recording may occur.

By agreeing to these terms in participating: 

  • You consent to photography, audio recording, video recording and its release, publication, exhibition, or reproduction to be used for promotional purposes, advertising, inclusion on websites, social media, or any other purpose by LUG Con and its representatives.
  • You understand that LUG Con will not sell any content for financial gain other than to marketing current and future events.
  • You release  LUG Con, its employees and volunteers, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication and use of interviews, photographs, computer images, video and/or or audio recordings, and you waive all rights to any claims for payment or royalties in connection with any use of these materials. 
  • You also waive any right to inspect or approve any photo, video, or audio recording taken by LUG Con or its representatives.

Attendees may take photos and videos for personal use.

  • Please be respectful of others when taking photos and request subject permission whenever possible. Do not photograph or record anyone, if they refuse permission.
  • Avoid obstructing pathways and doorways.
  • Use of large equipment that is not immediately portable may require additional permissions.

Commercial photography or videography requires prior written consent from LUG Con management. Media badges may be given out on a case-by-case basis and will have specific restrictions, permissions and guidelines.

Operation of any Unmanned Aerial System (UAS) or drone in the airspace above the venue must be approved by LUG Con and venue staff.

Parking and Transportation

Gas South District Parking is paid and one-way.

No parking in the fire lanes, service roads, vacant exhibit halls, loading dock areas, or any other location posted “no parking” will be allowed. Unauthorized vehicles will be removed at owner’s expense.

The use of bicycles, skateboards, in-line skates, roller skates, scooters and hoverboards are prohibited within the Gas South District and on the grounds. This includes all non-ADA approved mobility devices.

Electric Vehicle Charging Stations

Gas South District offers on-campus electric charging stations for our guests’ convenience. The stations are located in Lot A1, in Deck 1 on levels P1, P4, and P6 and in Deck 2 on levels P1, P3, and P5.

Electric vehicle charging costs a flat fee of $5.85 for four (4) hours of charging. To charge your vehicle, scan the QR code on the charging station and pay online using card only.

Liability and Disclaimer

LUG Con is not responsible for any loss, damage, or injury to participants while participating at the convention or on venue property. Attendees participate in events and activities at their own risk. By attending LUG Con, attendees agree to release and hold harmless LUG Con, its staff, and volunteers from any liability.

You accept that it is entirely your responsibility to decide whether participation in any activity in the Event is appropriate to your capabilities, aptitude, fitness and health, and that it is entirely your responsibility to observe all safety requirements and instructions that you may be given in relation to such activities.

LUG Con reserves the right to postpone or cancel an event without liability at any time for any reason (whether or not due to causes beyond our reasonable control). Where an event is postponed, your registration will be valid for any re-scheduled edition of that event (unless otherwise notified).

LUG Con reserves the right without liability to refuse admission to, or to eject from, the convention, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who, in the opinion of LUG Con, represents a security risk, nuisance or annoyance to the convention. You agree to comply with all reasonable instructions issued by LUG Con, the venue owners, security personnel and/or management at LUG Con.

The personal information you provide to LUG Con will be held on a database and will not be knowingly shared directly with any outside third party. Your personal information may also be shared with government entities and regulatory authorities as required by law. The use that such government entities and regulatory authorities make of your personal information is outside of LUG Con’s control and we do not accept any liability in this regard.

LUG Con and all its representatives accept no liability for any loss, injury or damage whatsoever that you may suffer in connection with or arising from the convention whether direct, indirect, incidental, special or consequential (including, without limitation, loss of profit, loss of business or any other type of economic loss) or otherwise. The limitations and exclusions in this paragraph only apply to the extent permitted by applicable law.

All participants shall comply with all Federal, State, and local law ordinances, rules and regulations pertaining to the event and use of the venue.

LUG Con reserves the right to amend these terms and conditions (without notice) at any time and you will be subject to the terms and conditions in force at the time of the convention.

Code of Conduct Violation Consequences

Violations of this Code of Conduct may result in:

  • Verbal warning
  • Confiscation of badge
  • Removal from the convention without refund
  • Notification of local authorities
  • Ban from future LUG Con convention and sponsored events
